T02Visuals — General Terms & Conditions 2026-2027
Thank you for considering T02Visuals. These terms are designed to keep the booking and production process clear, organized, and fair for both parties. By submitting payment and securing a booking with T02Visuals, the client acknowledges and agrees to the following terms.
1. Booking & Payment
A non-refundable retainer is required to reserve your session, event, or project date and begin services. The required retainer amount will be communicated prior to booking.
Your booking is not officially confirmed until the required retainer or full payment has been received.
Unless otherwise stated in your proposal or booking details, the remaining balance is due 24 hours before the scheduled session or event. Alternative payment arrangements must be approved in advance.
Same-day bookings require payment in full.
Payments may be made through the T02Visuals website or another agreed-upon payment method.

2. Service Pricing & Additional Production Expenses
T02Visuals service/package pricing covers only the services and deliverables specifically outlined in the selected package, quote, or proposal.
Studio and location rental fees are not included in the base service rate unless specifically stated otherwise.
Depending on the project, additional production expenses may include studio or location rentals, permits, travel, parking, props, specialty equipment, models/talent, hairstylists, makeup artists, wardrobe/stylists, assistants, additional photographers/videographers, and other vendors or production needs.
Known additional expenses will be communicated to the client for approval before being incurred whenever reasonably possible.
Once a third-party reservation, service, rental, or purchase has been approved and secured, the client is responsible for any applicable non-refundable payments, cancellation fees, or committed expenses.
3. Pre-Production & Project Planning
Certain sessions and larger-scale projects may require work prior to the scheduled shoot date.
Pre-production may include consultations, concept development, research, mood boards, shot lists, scheduling, location sourcing, vendor communication, talent and crew coordination, production logistics, creative planning, and other preparation necessary to execute the project.
Pre-production may begin once the client has officially booked and the required retainer has been received.
Time and services performed during pre-production are considered part of the project and constitute work performed by T02Visuals, even if the scheduled shoot has not yet occurred.
4. Client Responsibilities
Clients are responsible for providing requested information, materials, products, approvals, decisions, access, and other agreed-upon items within the requested timeframe.
When specific responsibilities are assigned to the client including securing or providing access to a location, delivering products, coordinating talent, confirming availability, obtaining permissions, or providing necessary information the client is responsible for completing those responsibilities within the agreed timeline.
Failure to provide necessary information, approvals, access, products, or other client responsibilities may affect the production schedule, shoot date, deliverables, and final turnaround time.
T02Visuals is not responsible for delays caused by incomplete or late client responsibilities.
Significant client-caused delays may require the project to be rescheduled and may result in additional fees when additional planning, coordination, reservations, or production work is required.
5. Scope of Work & Project Changes
Pricing is based on the scope, services, deliverables, responsibilities, production requirements, and creative needs agreed upon at the time of booking.
Requests that significantly change the original project including changes to the concept, deliverables, location, shoot duration, number of looks, talent, crew, production requirements, or other agreed details may require an updated quote.
Services or deliverables not included in the original agreement are not automatically included because they relate to the same project.
Any significant additions or changes will be discussed with the client before additional work is performed or additional expenses are incurred.
6. Cancellations & Project Termination
For standard sessions, clients should provide at least 24–48 hours' notice when requesting cancellation or rescheduling.
All retainers are non-refundable.
Cancellations made within 12 hours of a scheduled session or event may result in forfeiture of all payments already made.
For projects involving pre-production, the client may cancel or terminate the project; however, cancellation does not eliminate financial responsibility for work already completed or expenses already incurred.
If a client cancels or terminates a project after pre-production has begun:
The initial retainer remains non-refundable.
The client remains responsible for any completed services or work not already covered by payments received.
The client remains responsible for approved third-party expenses, non-refundable reservations, cancellation fees, and other financial commitments made on behalf of the project.
Any outstanding balance for completed work or applicable expenses may be invoiced upon termination.
Cancellation of the project does not grant the client ownership or usage rights to unpaid or unfinished creative materials.
Concepts, mood boards, shot lists, production plans, creative materials, and other materials developed by T02Visuals may not be reproduced, distributed, transferred to another creative team, or executed without written authorization and payment of any applicable fees.
7. Rescheduling
Rescheduling requests are subject to T02 Visuals availability and are not guaranteed.
When reasonable notice is provided, T02Visuals will make reasonable efforts to accommodate a new date.
If a reschedule results in lost studio/location reservations, vendor fees, travel expenses, or other non-refundable costs, the client is responsible for those expenses.
Repeated rescheduling or significant changes to the production timeline may require a new retainer or additional fee.
8. Cancellation by T02Visuals
If T02Visuals must cancel due to an emergency, illness, or another circumstance that prevents the agreed services from being performed, the client will be notified as soon as reasonably possible.
When possible, the client will be offered the option to reschedule.
If T02Visuals is unable to perform the contracted services and a suitable reschedule or replacement arrangement cannot be made, payments for services that were not performed will be refunded as appropriate.
T02Visuals is not responsible for expenses outside of its control, including independently booked travel, accommodations, vendors, locations, or other third-party expenses unless otherwise agreed in writing.
9. Late Arrivals & No-Shows
A 15-minute grace period is provided for late arrivals unless otherwise communicated.
Clients should contact T02Visuals as soon as possible if they expect to be late.
Late arrival does not automatically extend the scheduled booking time. The session may still end at the originally scheduled time to avoid affecting other bookings, studio reservations, vendors, or production schedules.
Clients who fail to appear without communication may have their booking treated as a cancellation and forfeit payments already made.
10. Studio, Location & Guest Policies
T02Visuals does not currently operate a dedicated studio. When a studio or specific location is required, T02Visuals may assist with sourcing and coordinating an appropriate space.
All studio/location costs are separate unless explicitly included in the client's package or proposal.
Clients must notify T02Visuals in advance of any guests who will attend the session but are not part of the scheduled production.
For standard sessions, no more than two additional guests should attend without prior approval.
Certain studios, venues, private properties, and locations may have their own rules regarding guests, crew size, equipment, food, parking, access, or conduct. Clients and their guests are expected to follow all applicable location policies.
11. Travel & Destination Projects
Travel and destination photography is quoted according to the location, duration, coverage requirements, and overall scope of the project.
Travel-related expenses may include transportation, airfare, mileage, lodging, parking, tolls, baggage/equipment fees, ground transportation, and other necessary travel costs.
Any applicable travel costs will be communicated during the booking or planning process.
Non-refundable travel arrangements purchased for an approved project remain the client's responsibility if the client later cancels or changes the project.
12. Deliverables & Turnaround
Final deliverables and turnaround times vary depending on the selected service, package, and overall project scope.
The applicable number/type of deliverables and estimated turnaround time will be communicated before booking or outlined in the client's package, booking details, or proposal.
Turnaround begins once all necessary client selections, materials, information, and approvals required for post-production have been received.
Final work will be delivered digitally unless another delivery method has been agreed upon.
Online galleries will remain available for one week unless otherwise stated. Clients are responsible for downloading and securely storing their final files before the gallery expires.
Delivery timelines may be adjusted if project scope changes, additional revisions are requested, or necessary client feedback/selections are delayed.
13. Revisions
Unless otherwise stated in the client's package or proposal, final deliverables include one major correction and one minor modification.
Additional revisions or edits outside the agreed scope may incur a fee starting at $50, depending on the request.
A revision does not include completely changing the original creative direction, requesting an entirely different editing style, replacing previously approved selections, or requesting additional deliverables. Those requests may require a separate quote.
14. Editing, RAW & Unedited Files
Final images are professionally edited according to the T02Visuals visual and creative style.
Editing may include color correction/grading, cropping, exposure adjustments, retouching, and other finishing work appropriate for the project.
RAW or unedited files are not included in standard packages or deliverables.
If RAW or unedited files are available for a particular project, they may be licensed or provided for an additional fee agreed upon before delivery.
Any RAW/unedited files provided are delivered as-is and do not represent the finished quality or visual style of T02Visuals.
15. Copyright, Personal Use & Commercial Usage
Unless otherwise agreed in writing, T02Visuals retains the copyright to photographs and video content created as part of the project.
Personal clients receive usage rights for personal purposes, including personal printing and social-media sharing.
Business, brand, commercial, advertising, promotional, publication, third-party, or paid-media usage may be subject to separate licensing terms based on the intended use of the imagery.
Commercial usage rights will be outlined in the applicable proposal, package, invoice, or licensing agreement when necessary.
Purchasing photography services does not automatically transfer copyright ownership to the client.
16. Creative Materials & Intellectual Property
Concepts, treatments, mood boards, shot lists, production plans, layouts, creative presentations, and other original materials developed by T02Visuals remain the intellectual property of T02Visuals unless ownership or usage rights are expressly transferred in writing.
Clients may not provide unpaid or unauthorized creative materials developed by T02Visuals to another photographer, production team, agency, or third party for reproduction or execution.
Payment for photography or production services does not automatically transfer ownership of underlying concepts or pre-production materials unless specifically included in the agreement.
17. Equipment Failure & Unforeseen Circumstances
T02Visuals takes reasonable precautions to maintain equipment, protect files, and successfully complete each project.
In the event of equipment malfunction, file corruption, severe weather, venue restrictions, emergencies, or other unforeseen circumstances that materially prevent completion of the agreed services, T02Visuals will work with the client toward a reasonable solution, which may include rescheduling, replacement coverage when appropriate, partial delivery, or a refund for services that could not be performed.
If T02Visuals is unable to complete some or all of the contracted services due to equipment failure or another unforeseen circumstance within T02Visuals control, any applicable refund will be limited to the portion of services that could not be completed or delivered.
18. Acceptance of Terms
By submitting a retainer, making full payment, or otherwise confirming a booking with T02Visuals, the client acknowledges that they have reviewed and agreed to these Terms & Conditions, along with any project-specific proposal, package, invoice, or written agreement associated with their booking.
If a project-specific agreement conflicts with these general terms, the terms specifically stated in the project's written agreement should govern that particular project.
